A top independent co-educational day school situated in the beautiful town Of Knysna, on the Garden Route, is seeking to appoint an experienced, highly organised and service-oriented Office Coordinator to join our admin team.

Our Front of House is the warmth and heart of Oakhill, and our Office Coordinator Will create a welcoming experience of genuine care While delivering efficient, high level administrative support, Reporting to the relevant school leadership, the successful candidate will oversee our front of house operations while fulfilling a broad, dynamic support role across general academic administration, marketing and basic finance, The role requires exceptional customer service skills, Strong administrative abilities and the energy to be fully immersed in all aspects of school life. The successful candidate Will play a vital role in ensuring our reception environment is welcoming, professional and smoothly run.

Office Coordinator & Front of House

Key Responsibilities:

  • Front of House Hospitality: Welcome parents, students, visitors, and guests with exceptional warmth, confidence and professionalism. Manage the daily presentation and smooth functioning of the reception area, coordinate incoming calls, and handle enquiries confidentially across all channels.
  • Academic & Student Support: Manage prep student administration, assisting with calls, late arrivals and early departures. Support Prep Academic Leadership with diary management and appointment liaison.
  • General & Operations Admin: Coordinate room bookings, monitor central calendar activity, manage office supplies (stationery and refreshments), and help maintain basic admissions and alumni databases.
  • Finance: Handle basic financial administration (EFT requisitions, sports admin support, credit card and petty cash receipts).
  • Marketing: Support events management and booking systems. Social media, photography and basic video editing skills Will be advantageous.

Candidate Requirements:

  • A Grade 12 certificate, a relevant tertiary qualification in administration, marketing, business management, bookkeeping, or a related field would be advantageous.
  • At least years’ relevant experience in administration or reception; experience within a school or educational environment is advantageous.
  • Strong computer literacy is essential, especially Google Workspace and/or MS Office; experience with ADAM (or another school management system) and database/accounting software is advantageous.
  • Professional customer service orientation with a warm, service-focused approach that naturally puts people at ease while maintaining appropriate boundaries.
  • Excellent verbal and written communication skills with an ability to communicate effectively at all levels.
  • Calm, dependable and solutions-orientated under pressure, bringing positive energy and composure to busy or emotionally charged moments.
  • High attention to detail and deadline driven, With the ability to work independently, multi-task, flexibly prioritize and plan.
  • Commitment to confidentiality with an ability to accurately enter and manage data and confidential matters.
  • First Aid training is advantageous.

Important Conditions:

  • The requisite working hours are 07h15-15h45, Monday to Friday.
  • Due to the nature of the role, it will be a requirement, on occasion, to work after hours for school events and Saturdays.
  • This is a non-academic role. Admin staff work during school holidays and receive 21 days annual leave.
