The successful candidate will be experienced in managing projects and teams, understanding the requirements of health and safety, and supervising operations. The candidate should hold an appropriate qualification with a degree in finance. Experience in the field of Health and Safety is an advantage. Previous experience in a school is also an advantage but is not necessary.

  • While this job description covers the major areas of responsibility, there will be times when the incumbent is required to assist in areas outside of their responsibility in the interests of the smooth running of the school.
  • It is imperative that the incumbent has an understanding of the wider context in which the School operates and plays a full and active part in the life of the School, and especially so in all festivals, Open Days, and functions, while promoting the public image of the School at all times.
  • The incumbent is responsible and accountable for the day-to-day management of the procurement system and other finance related aspects and will report to the Commercial Manager.
  • The incumbent will determine and implement policy that is consistent with both School and Steyn City Properties policy requirements.
  • The incumbent will assist the Commercial Manager with the budgeting process and financial control implementation and ensure best practice in these areas.
  • The incumbent will work with the Operations Manager and the IT team to implement and develop stock control systems and ongoing management of stock.


  • Attend relevant weekly meetings (including facilities and finance) and report on any procurement or stock related issues.
  • Maintain an Asset Register for the School.
  • Compile statistical reports as required by different bodies.
  • Assist with the operations of the school through liaison with the Operations Manager, especially in terms of procurement.
  • Ensure compliance with environmental health and safety regulations. This includes evacuation procedures and health and safety policies.
  • Supervise and manage administrative services, including OHS requirements.
  • Co-ordinate and manage all Occupational Health and Safety policies and procedures and prepare for audits.
  • Monitor and oversee the work of external contractors to ensure terms of agreements are met and work is completed satisfactorily.
  • Assist the Facilities Manager in all areas including scheduling, tracking, organizing, and planning ahead for the maintenance of the School to ensure it remains in pristine condition.
  • Develop and carry out regular facility inspection processes for ongoing review of maintenance work, including preventative maintenance carried out via “Standard Level Agreements” (SLAs) with reputable companies.
  • Develop, recommend, and administer policies, procedures, and processes in support of grounds and building maintenance operations, including assisting with the annual audit.
  • Maintain manual and electronic documents, files, and records including, but not limited to, inspection records, time sheets, work orders and requisitions, supplies, chemical storage, crisis management data, and security controls to document activities and ensure updated references.
  • Manage all outsourced services.
  • Inform the Facilities Manager before contacting contractors/service providers. Supervise service providers and contractors.
