Nova Pioneer is looking for a superstar Operations Associate to ensure the smooth running of everyday process and provide logistical and administrative support to our Ormonde campus. We are looking for a meticulous and self-driven individual who is excited about working in a fast-paced environment.


The Operations Associate will be responsible for Operational and Facilities management at our Ormonde campus. The Associate will ensure that support services such as security, water, and electricity supply; maintenance of buildings and grounds; procurement of resources; and management of third-party vendors to the school are provided in an efficient and effective manner so that the school is well-equipped to meet the learning and social needs of our students as well as the professional needs of our teams.

The Operations Associate will report to the Head of School.

Your responsibilities include:

  • Serve as the go-to person when it comes to running the campus, including resource management, cleanliness, maintenance & repairs, facilities management, and utilities
  • Hold primary accountability for the operation, supervision, and maintenance of buildings and facilities on campus, including water and electrical power supply, safety and security, garden maintenance, IT, and other utilities required for successful functioning of the campus
  • Manage third-party vendors (e.g., aftercare, uniform suppliers, extramural suppliers, etc.) including keeping minutes of all meetings and records of agreements reached
  • Inspect the building and other structures to determine functional systems and detect malfunctions in need of repair
    Create and project-manage maintenance (planned and unplanned) in line with budget
  • Support the organisation of events on campus (e.g. Parent Meetings, Open Days and Sports Days), including staffing, logistics, and catering needs
  • Procure materials and build relationships with suppliers to ensure schools have the necessary materials to deliver high-quality results
  • Manage day-to-day operations and resolve campus-related issues, concerns, and/or complaints with the support of the Operation Leader or a delegate
  • Work with different teams across the network to forecast needs and acquire supplies, equipment and/or machinery necessary to ensure efficient operations and to manage delivery times and expectations
  • Produce regular and ad hoc reports and analysis of activities and programmes, and perform general office administrative and clerical duties, including reconciling payments and receipts to various parties on time
  • Supervise Facilities staff members to ensure quality delivery of services within the expected time
  • Ensure that the required IT support is provided
  • Discuss and prioritize needs with the Head of School
  • Manage and be responsible for Health & Safety at the school
  • Occasionally work weekend/after hours as needed


Required qualifications:

  • You have a minimum of 3 years working experience in an Operations/Facilities or similar role
  • Project management experience in a professional or school- based environment
  • A Technical Qualification is beneficial for this role

  • You are a proactive, flexible, and creative problem-solver. You have an ability to identify, analyze, and recommend solutions to problems
  • You are computer literate and proficient in email, document, and spreadsheet use (Project Management skills would be an added benefit)
  • You have strong administrative skills
