St John’s College is a world-class Christian, African school situated on a magnificent campus in Houghton, Johannesburg, offering quality education from Pre-Primary to Post-Matric. The school has an outstanding academic record and an excellent reputation in sport, music, drama, art and debating.

We are seeking to appoint an efficient and highly organised Music Department Secretary to support our Music Department across five schools, from the Pre-Preparatory school to the Sixth Form. This pivotal role requires a proactive and detail-oriented individual who can manage a dynamic and fast-paced environment with professionalism and efficiency. St John’s College has a vibrant music department, with 12 full-time music staff and approximately 30 visiting instrumental music teachers.

The ideal candidate will be responsible for overseeing and coordinating a wide range of administrative tasks to ensure the smooth functioning of the department.

Main Responsibilities

  • Provide administrative support to the Director of Music and music staff
  • Manage complex schedules for lessons, rehearsals, and performances across multiple schools
  • Coordinate music events, including logistics and communication with all stakeholders
  • Maintain accurate records of student attendance, grades, and instrument allocation
  • Act as a key point of contact for parents, students, and staff
  • Support budgeting, procurement, and general office administration
  • Process visiting music teachers’ charge sheets and invoices
  • Make external examination entries several times per year

Minimum requirements

  • Qualifications: Undergraduate degree or Postgraduate qualification is advantageous

Experience

  • 5-8 years of administrative experience, preferably in a school environment
