FACILITIES MANAGER

(FULL TIME FROM 1ST JANUARY 2025)

Job Purpose:
The Facilities Manager is responsible for overseeing and managing the school’s physical environment to ensure the safety, functionality and cleanliness of the facilities. The role involves maintaining high standards of health and safety, security and operational efficiency, ensuring the smooth running of daily operations, and managing maintenance, repairs and services to support the educational mission of the school.

Key Responsibilities:

Health and Safety:

  • Develop and implement health and safety policies and procedures.
  • Conduct regular safety audits and risk assessments.
  • Ensure compliance with local, regional and national health and safety regulations.
  • Train staff on health and safety practices and emergency procedures.

Security Management:

  • Oversee campus security measures and protocols.
  • Coordinate with security personnel to ensure a safe environment.
  • Implement and maintain access control systems.

First Aid Management:

  • Manage First Aid supplies and equipment.
  • Ensure the staff are trained in first aid procedures.
  • Coordinate with external emergency services when necessary.

Administration and Operations:

  • Oversee daily operations of the facility.
  • Maintain records of all facility- related activities.
  • Develop and manage the facilities budget.
  • Ensure effective communication with all stakeholders.

Garden Services:

  • Manage landscaping and gardening services to maintain the school’s grounds.
  • Ensure the aesthetic upkeep of outdoor areas.

Machinery and Plant:

  • Maintain and service all machinery and plant equipment.
  • Schedule regular inspections and preventative maintenance.

Buildings, Repairs and Maintenance:

  • Oversee the maintenance and repair of all school buildings.
  • Ensure timely and cost-effective repair and maintenance activities.
  • Develop and implement a preventative maintenance program.

Vehicle Management:

  • Manage the school’s fleet of vehicles, including maintenance and scheduling.
  • Ensure compliance with transportation regulations.

Plumbing and Electrical:

  • Oversee plumbing and electrical systems maintenance and repairs.
  • Ensure compliance with relevant standards and regulations.

Irrigation and Effluent Water System:

  • Manage the school’s irrigation and effluent water systems.
  • Ensure efficient use of water resources and compliance with environmental regulations.

Waste Management:

  • Implement and manage waste disposal and recycling programs.
  • Ensure compliance with waste management regulations.

Facilities Cleaning:

  • Oversee the cleaning of all school facilities, including classrooms, bathrooms and common areas.
  • Ensure high standards of cleanliness and hygiene.

Roof Maintenance:

  • Schedule regular inspections and maintenance of roofs.
  • Address any issues related to roof integrity and water leakage.

Air Conditioning Maintenance:

  • Oversee the maintenance and repair of air conditioning systems.
  • Ensure a comfortable indoor environment.

Playground and Play Toys Management:

  • Maintain playground equipment and ensure safety standards are met.
  • Conduct regular inspections and maintenance.

Procurement Management:

  • Manage the procurement of facility-related goods and services.
  • Negotiate contracts and manage vendor relationships.

Furniture and Equipment:

  • Inventory Management: Maintain an inventory of furniture and equipment, ensuring they are appropriately allocated and in good condition.
  • Procurement: Oversee the procurement of new furniture and equipment as needed to support the school’s activities.

Space and Room Allocation:

  • Needs Assessment: Conduct assessments to determine the spatial needs of various departments, classes and activities within the school.
  • Utilisation Analysis: Analyse the utilisation of existing spaces to identify areas of underuse or overuse and recommend adjustments.
  • Room Assignments: Allocate classrooms, labs, offices and other spaces based on needs, ensuring optimal use of available resources.
  • Timetabling: Coordinate with academic staff to develop timetables that maximise the efficient use of rooms and facilities.

Grounds and Fields Management:

  • Regular Inspection: Conduct routine inspections of the grounds and fields to identify and address any issues such as wear and tear, damage, or potential safety hazards.
  • Landscaping: Oversee the landscaping, including lawn care, tree trimming, and garden maintenance to ensure the grounds are aesthetically pleasing and safe.
  • Repairs: Coordinate and supervise repairs to facilities such as playgrounds, sports fields and outdoor seating areas.

Other Responsibilities:

  • Perform any other duties as required to support the school’s operations.
  • Stay informed about industry best practices and innovations.

Minimum Requirements:

  • Be a committed Christian.
  • Professional certification in Facilities Management or a related field at NQF level. (Advantageous)
  • At least 5 years of experience in facility management or a related role.
  • Experience in an educational environment. (Advantageous)
  • Advanced knowledge of procurement and contract management.
  • Comprehensive knowledge of health and safety regulations.
  • Strong understanding of security management and first aid procedures.
  • Experience in managing various maintenance and repair activities.
  • Excellent organisational and multitasking abilities.
  • Strong communication and leadership skills.
  • Attention to detail and a commitment to quality.
  • Strong problem-solving and decision-making skills.
  • Ability to work independently and part of a team.
  • Excellent interpersonal and communication skills.
  • Proficiency in Microsoft Office Suite and facility management software.
  • Valid driver’s licence.
  • Police clearance certificate.
