We are seeking a proactive and detail-oriented Donations and Database Officer to foster positive relationships with donors and stakeholders while managing the Advancement Office’s administration. This role supports the Foundation Board of Trustees, coordinates meetings, and facilitates fundraising campaigns and events. The successful candidate will collaborate with various teams to advance the school’s vision, manage donor recognition, and assist with reporting and other Advancement functions.

Main Responsibilities

  • Financial responsibilities: Manage and monitor incoming donations in coordination with the Finance Office and Foundation, ensuring funds are correctly allocated and accurately recorded in the donor database. This includes handling donor invoicing, issuing tax certificates,coordinating international transfers, and generating monthly reports on donor activity
  • Monitoring, Evaluation and Reporting: Oversee donor record maintenance and assist with project Monitoring and Evaluation (M&E), ensuring accurate tracking of contracts, donations, and pledges in Devman. Set reminders for donor report deadlines and support project leaders in report preparation. Communicate professionally with donors and stakeholders, and develop various reports as needed for Foundation Trustees and other stakeholders
  • Governance: Ensure compliance with regulatory and policy requirements by coordinating and completing relevant submissions and reports with internal and external external parties and ensuring POPIA compliance.
  • Donor Stewardship: Coordinate donor stewardship activities, including personalised acknowledgments, events, and recognition items, while preparing reports and termly updates on key initiatives.
  • Fundraising Assistance: Conduct research to profile potential donors and assist in developing strategic approaches for key projects and campaigns. Maintain accurate records of donor prospects and engagements, support standardised applications to funding sources, and ensure Old Johannian information is current in Devman
  • Archiving and Research: Research historical records of the school (e.g. old school magazines,etc.) and digitally record relevant photographs, news articles, etc.
  • Database responsibilities: Serve as the custodian of the database, ensuring it is regularly updated and accurate and manage communication with the database whilst maintaining consistent and effective engagement.
  • Events: Organise and/or assist with relevant events

Minimum requirements

  • Relevant tertiary qualification
  • More than five years experience in an administration and/or department support function
  • 2 – 3 years experience as an Executive Personal Assistant would be advantageous
