Debtors and Administration Clerk



This growing co-educational independent school in Parktown, Johannesburg, is looking for an innovative Debtors Controller / Administration Clerk to contribute to our quality team.

Main Duties:

  • Regular sending of statements
  • Resolving parent queries
  • Accepting credit/debit card payments
  • Updating various schedules relating to payments received other than school fees
  • Capturing and allocating payments received
  • Collect and maintain all source documents for learners
  • Invoice all learners (parents)
  • Prepare, review and email debtor statements
  • Capture and Reconcile fees received to bank statements
  • Accurate allocation of payments received
  • Matching payments to invoices
  • Respond to all telephonic and emailed queries received, seeing matters through to completion
  • Perform any other work-related duties and responsibilities that may be assigned by management from time to time
  • Maintain accurate and up to date reconciliations at all times
  • Audit preparation and interaction
  • Liaise positively and professionally with colleagues, parents and learners
  • Respond to all queries in a timely and professional manner – orally and in writing
  • Proofreading all documentation to ensure there are no errors or omissions

Requirements and Skills:

  • Bookkeeping diploma or relevant qualification
  • 3 years’ experience in an equivalent or similar role
  • Experience with school environment is preferable, but not essential
  • Can establish and maintain good professional relationships, internally and externally at all levels
  • Can reconcile accounts and have excellent attention to detail
  • Act with honesty and integrity
  • Conflict management/resolution and problem solving
  • Effective people skills, empathetic, yet tenacious
  • Excellent verbal and written communication skills
  • Efficient, discreet, flexible and always maintains a high level of confidentiality
  • Experience on accounting/administration packages and Microsoft Office
