FULL TIME POSITION: Debtors Administrator

Rallim Modern Learning Environment, an exciting new private school situated on Berkshire Boulevard, Sunningdale, in the Western Cape, is seeking to employ a full-time Debtors Administrator to join a talented and creative community in August 2024. Only Cape Town based candidates will be considered.

Job Summary

Rallim Modern Environment is seeking an attention-to-detail and highly capable Debtors Administrator to manage our accounts receivable operations. The ideal candidate will be responsible for overseeing the entire debtor’s portfolio, ensuring timely collection of outstanding school fees, and maintaining accurate financial records. The role demands a proactive, vigilant, and firm individual who can effectively communicate with parents and guardians, uphold financial policies, and contribute to the financial health of the institution.

Key Responsibilities

Daily Responsibilities:

  • Monitor and manage the daily accounts receivable ledger.
  • Process incoming payments, verifying accuracy and completeness.
  • Reconcile receipts and resolve any discrepancies promptly.
  • Address and resolve queries from parents and guardians regarding fees and payments.
  • Maintain accurate records of all transactions.

Weekly Responsibilities:

  • Review aging reports to identify overdue accounts.
  • Prepare and send reminders and statements to delinquent debtors.
  • Communicate with non-paying parents or guardians to negotiate payment plans or resolve disputes.
  • Record and monitor promises to pay and ensure follow-up actions are taken.

Monthly Responsibilities:

  • Prepare detailed monthly aging reports and debtor analysis for the Finance Head.
  • Conduct monthly reconciliations of the accounts receivable ledger.
  • Prepare and present monthly reports detailing collection activities, outstanding balances, and action plans for delinquent accounts.
  • Liaise with the Finance Head to discuss and strategize on addressing problematic accounts.

Yearly Responsibilities:

  • Participate in the annual budgeting process by providing insights and projections on receivables.
  • Assist in the year-end financial audits by providing necessary documentation and explanations.
  • Review and improve debtor management policies and procedures to enhance efficiency and effectiveness.

Additional Duties:

  • Handle the escalation of non-paying debtors to attorneys when necessary.
  • Maintain and update the school’s debtor management system (e.g., Ed-Admin, Pastel, Accpac, Quickbooks, Sun System).
  • Develop and implement effective collection strategies and protocols.
  • Ensure all communications with parents and guardians are professional, courteous, and in line with school policies.
  • Uphold the highest standards of integrity, honesty, and confidentiality in all financial dealings.

Qualifications and Skills

Education and Experience:

  • A diploma or similar qualification in Finance, Accounting, or a related field.
  • Minimum of 3-5 years of experience in a similar role, preferably within an educational institution.
  • Proficiency in accounting software systems such as Ed-Admin, Pastel, Accpac, Quickbooks, and Sun System.
